The purpose of this Information Notice on the Protection and Processing of Personal Data (the “Information Notice”) is to fulfill the disclosure obligation set forth under Article 10 of the Law No. 6698 on the Protection of Personal Data regarding the use of personal data obtained during the use of the website located at ulusem.uludag.edu.tr, operated by ULUSEM, and/or obtained from third parties. In addition, this Information Notice aims to transparently inform Users about the methods of collection, purposes of processing, legal grounds and rights related to personal data collected by ULUSEM or provided by users through their affirmative actions during the use of ULUSEM’s website.
Users review products and services in various categories and carry out their purchases through the secure environment provided by ULUSEM. Within the scope of these activities, personal data may be processed as required for the use of ULUSEM’s functions, as specified in this Information Notice.
ULUSEM continuously renews itself by investing in technology and offering innovative products and services in order to provide better services to its Users in the online environment, and takes the highest possible level of security measures to ensure that personal data are collected, stored and shared in accordance with the law and to protect confidentiality. For this purpose, users’ personal data are processed within the scope and conditions explained below.
ULUSEM may update and amend the provisions of this Information Notice at any time by publishing them on its website. Updates and amendments made by ULUSEM shall become effective as of the date they are published on ULUSEM’s website.
a) Data Controller: Pursuant to the Law on the Protection of Personal Data, your personal data may be collected and processed by ULUSEM, as the data controller, within the scope described below.
b) Collected Personal Data: ULUSEM collects various static (fixed) and dynamic (variable) data from users through the methods specified below. The data collected by ULUSEM depend on the services and features used by users.
Under this heading, the categories of data processed within the scope of services provided by ULUSEM and considered personal data pursuant to the Law on the Protection of Personal Data are listed below. Unless explicitly stated otherwise, the terms “personal data” and “special category personal data” used in this Information Notice include the information listed below:
Name and Contact Information: Name, surname, mobile phone number, home phone number, work phone number, address, e-mail address, billing information, Turkish ID number (national identification number).
Identity Verification Information: Membership information, passwords used for identity verification and account access, username, contact information, password hints, user numbers.
Demographic Data: Date of birth, age, gender, marital status, education level, profession, areas of interest.
Usage Data and Favorites: Data collected from your devices through various software and technological tools, including but not limited to reasons for contacting ULUSEM or its Call Centers, voice recordings, date and time of product usage, products viewed on ULUSEM, prices, data entered to obtain information about services and products sold via ULUSEM, response channels, last login date to ULUSEM, delivery type, visited websites, number of pages viewed, duration of visit, search terms entered, categories of products and services visited, errors occurring during service usage, and similar issues.
Location Data: Includes data regarding users’ precise or approximate locations. Location data derived from GPS data or IP and port addresses are used when users wish to search for listings around their location while using ULUSEM’s mobile applications, subject to user consent.
Payment Data: Customer billing and payment information (name, surname, billing address, Turkish ID number, tax identification number), invoices sent to members, payment receipts received from members, payment number, invoice number, invoice amount, invoice issuance date.
Content Data: Documents requested to prove the authenticity of products and services (invoice, warranty certificate, etc.), membership information, notification explanations, resolution explanations, satisfaction, notification reason, customer notes, renewal date, feedback, reason for document submission, error content specified during service usage, interim notification status, interim notifications, call reasons and similar data.
Survey Responses: Responses given to periodic surveys organized by ULUSEM and surveys conducted by real or legal persons with whom ULUSEM cooperates.
Storage of Personal Data: Collected personal data are stored on servers used by ULUDAĞ INFORMATION TECHNOLOGIES and/or servers of service providers with whom it cooperates, and may be processed proportionally for the purposes specified in this Information Notice.
Personal data collected within the scope of this Information Notice shall be processed in accordance with the provisions herein and the legislation in force in the country where the data are stored and processed, within the prescribed security measures.
c) Purposes of Processing Personal Data: Your personal data shall be processed in accordance with the principles and processing conditions stipulated under Law No. 6698 and for the purposes detailed below:
Name and Contact Information: Communication, user registration, obtaining potential customer information, development of after-sales processes, business development, collection, customer portfolio management, promotion, analysis, complaint management, customer satisfaction processes, marketing, advertising, research, invoicing, event notifications, operational activities, measuring and improving service quality, auditing, control, optimization, customer verification, sales, fraud detection and prevention.
Identity Verification Information: User registration, issue/error notifications, control, operational development, after-sales process development, business development, collection, internal evaluation, customer portfolio management, service quality measurement, communication, optimization, auditing, risk management, customer verification, fraud detection and prevention.
Demographic Data: Promotion, internal evaluation, analysis, communication, marketing, sales, advertising, auditing, control, risk management, after-sales services, service quality measurement and improvement, complaint management, operational activities, registration and issue/error reporting.
Usage Data and Favorites: User registration, issue/error reporting, operational activities, online behavioral advertising, portfolio management, service quality measurement, optimization, auditing, risk management, promotion, analysis, profiling, scoring, marketing, sales, communication and complaint management.
Payment Data: Managing billing processes, accounting, business development, collection, internal evaluation, scoring, profiling, after-sales services, communication, marketing, auditing, control and processes conducted with payment service providers.
Content: Business development, optimization, auditing, operational development, promotion, internal evaluation, customer management, analysis, scoring, profiling, after-sales processes, collection, service quality measurement and complaint management.
Survey Responses: Conducting direct marketing, statistical analysis, process improvement and database creation by ULUSEM and cooperating third parties.
Personal data shall also be processed for the purposes of fulfilling legal and commercial obligations arising from contracts executed with business partners, customers or suppliers, establishing and protecting rights, conducting legal and commercial evaluations, legal compliance, financial management, fulfilling legal requirements, and responding to decisions and requests of authorized institutions, within the scope of Articles 5 and 6 of Law No. 6698.
Retention Period of Personal Data: ULUSEM shall retain personal data for the period required for the purposes for which they are processed and to fulfill obligations under this Information Notice.
In addition, personal data may be retained for statutory limitation periods for the purpose of conducting administrative or judicial proceedings in case of disputes.
ç) Transfer of Personal Data: ULUSEM may share personal data with third parties and authorized institutions in accordance with Articles 8 and 9 of Law No. 6698 and legal obligations. Identity verification data may be shared with payment institutions pursuant to relevant regulations.
d) Method and Legal Grounds for Collection of Personal Data: ULUSEM collects personal data to operate more effectively and provide the best user experience through direct provision by users and through usage of ULUSEM services.
Legal grounds for data processing include applicable legislation on electronic commerce, taxation, consumer protection and ULUSEM’s legitimate interest in preventing fraud and providing services.
e) Data Security Measures: ULUSEM undertakes to protect personal data securely and applies appropriate technical and administrative measures to prevent unlawful processing and access.
ULUSEM shall not disclose personal data to third parties contrary to this Information Notice and applicable legislation, nor use them outside their intended purposes.
ULUSEM bears no responsibility for privacy policies of third-party applications linked from its website.
Users undertake that their information is accurate and up-to-date and shall update it via https://ulusem.uludag.edu.tr in case of changes.
f) Rights of Data Subjects under Article 11 of Law No. 6698:
- To learn whether personal data are processed,
- To request information if personal data have been processed,
- To learn the purpose of processing and whether data are used accordingly,
- To know third parties to whom data are transferred,
- To request correction of incomplete or inaccurate data,
- To request deletion or destruction of data,
- To object to outcomes derived from automated processing,
- To claim compensation for damages arising from unlawful processing.
